Security Alert! Check The Security Of Your Hotel’s Knox Boxes Frequently

Check your Knox Boxes! A Knox Box, known officially as the KNOX-BOX Rapid Entry System, is a small, wall-mounted safe-like box that holds building keys for firefighters and EMTs to retrieve in emergencies. In many jurisdictions, the local Fire Department requires that a Knox Box be located outside of your hotel (check with your local Fire Department for requirements; some jurisdictions may not require hotels to have one), for their use only, in the event of an emergency. The Knox Box has a complete set of the hotel’s master keys locked inside this box.

Knox Boxes simplify key control for local fire departments. Local fire companies can hold master keys to all such boxes in their response area, so that they can quickly enter a building without having to force entry or find individual keys held in deposit at the fire station. Sometimes Knox Boxes are linked via radio to the dispatch station, where the dispatcher can release the keys with telecommunication tone signaling over analog phone lines.

Knox Boxes have advantages and disadvantages for both business owners and emergency responders. The main advantage for their use is that they cut fire losses for building owners since firefighters can more quickly enter buildings without breaking doors or windows. The disadvantage of the system is that it provides a single point of failure for security. If the key to a district’s Knox Boxes is stolen or copied, a thief can enter any building that has a Knox Box. Likewise, if the locking mechanism or structural integrity of the box is compromised, a thief can gain access to the keys and hence access to the entire building. For this reason some building owners wire Knox Boxes into their burglar alarm systems so that opening the box trips the alarm, thus negating its use in facilitating clandestine entry.

Knox Boxes are an actual miniature safe designed to withstand tampering and are built in a variety of sizes ranging from a box designed for two keys to one designed to hold hazardous material information and multiple keys. Prices start at approximately $250.00. Most Knox Boxes are mounted onto a wood or steel mounting with the screws or bolts covered.

Todd Seiders Petra Risk SolutionsYet, this does not mean that Knox Boxes are indestructible or cannot be removed from their mounting with force. We have recently seen many of these Knox Boxes forcefully removed from their wall mountings and stolen from the property. In several cases the thieves then returned to the hotel with the master keys and stole items.

In one theft at a hotel the thieves specifically used the master keys to access the storage room for the hotel night audit packets and guest files. The thieves stole hundreds of night audit packets containing the names, addresses and credit card numbers of previous guests. Obviously, hotels can be held liable for breach of guests’ personal information or loss of their credit card data.

So, what should hoteliers do? Secure your night audit packets/files in a secure room that has a hard metal key, rather than a magnetic key card lock. There should only be one or two hotel employees that have access to the night audit storage room, and storage room keys. Secure these files separately, and control all access to them. DO NOT include a key to this storage room in your Knox Box, or on your “master key ring”, or even leave this key unattended in a key box. The night audit file storage room key should be kept separate from all other keys.

As for the hotel’s Knox Box, local ordinances may require that your property have a Knox Box in the event of an emergency. If so, follow these suggestions:

  • Check that your Knox Box is solidly secured to its location, using numerous heavy duty screws or bolts to make it extremely hard to remove.
  • Relocate your Knox Box to a well lit area, and in view of security cameras, if your property has them.
  • Add a visual inspection of the Knox Box to your property inspection form and security tours so it will be inspected on a regular basis. This will let you know in a timely manner if someone has tried to remove it, or has in fact actually removed or damaged. Immediately re-key the entire hotel if the Knox Box is stolen or the keys inside come up missing. 

Hospitality Industry Theft Risks: California Hotel Employee Arrested For Stealing $98,000 From Gift Shop

“…Police reported that a 51-year-old female employee at the Hotel Del Coronado embezzled an estimated $98,000 in cash and merchandise from Hotel Employee TheftThe Signature Shop, which sells apparel, gifts, wine and food…over a four-year period…”

An employee signed a confession to taking an estimated $49,000 in cash and $49,000 in merchandise from a gift shop at the Hotel Del Coronado, according to police.

Police said the employee had been taking money from the cash register while working at the hotel on the 1500 block of Orange Avenue over a four-year period from May 2009 to May 2013.

The loss was estimated at $49,000 in cash and another $49,000 in merchandise.

Hospitality Industry Theft Risks: Louisiana Hotel Employee Arrested For Stealing Over $34,000 From “Night Deposits”; Altered “Drop Log” And Inflated “Reward Point System”

“…As a controller at the hotel, (the employee) had been responsible for removing and verifying nightly deposits cashiers made into the Hotel Employee Theftsafe. His duties included checking these funds against a corresponding drop log and hotel records…A total of 97 deposits were found to be missing $34,280.53, according to an arrest warrant…to further conceal the scheme, (he) also is accused of falsely inflating the hotel’s reward point system, a program that allows guests to redeem points for services…”

An employee at the Renaissance hotel in Baton Rouge is accused of stealing more than $34,000 from hotel safe deposits and altering financial records to cover his tracks, according to court records. East Baton Rouge Parish sheriff’s deputies issued an arrest warrant for Matthew D. Dziadosz, 38, 8741 Pecan Tree Drive, on one count of felony theft. Detectives began an inquiry in June after an internal audit turned up discrepancies in the hotel’s deposits and accounting records.

“It was noted that varying amounts of cash were systematically removed from the daily dropped envelopes,” Detective Kevin Chenier wrote in the warrant.

Hotel records showed more than three dozen instances in which drop log entries had been altered and another 12 entries omitted entirely.

“This would have given the impression the employee had not dropped an envelope at all,” Chenier wrote.

In some instances, Dziadosz re-wrote an entire drop log, the warrant says. He had been expected to document erroneous or missing deposits, the warrant says, but made no reports “consistent with the volume of falsely reported errors or missing drops.”

Hospitality Industry Crime Risks: New Jersey Hotel Employee Arrested For Stealing “Wedding Reception Cash”; Used Freight Elevator To Avoid Surveillance Cameras And Enter Rooms

“…(the former employee), who was hired in May, apparently slipped up through the freight elevator so that he wouldn’t be detected by hotel Hospitality Industry Employee Crimesurveillance cameras and then used a swipe card to get into unoccupied newlywed suites…$770 was taken (in one incident) and for another on Saturday, when a couple said $500 was stolen…”

A since-fired bell hop at the Saddle Brook Marriott was arrested by local police last night and charged with slipping into the rooms of newlyweds at their receptions and snatching some of their wedding-gift cash.

Timothy Henriquez, 30, of Chester, NY, is charged with two counts of theft — for a July incident in which $770 was taken and for another on Saturday, when a couple said $500 was stolen. He was released on a summons pending a Municipal Court hearing, police said.

“Upon learning of his arrest, Marriott terminated his employment,” Saddle Brook Police Chief Robert Kugler said.

The National Restaurant Association estimates that internal employee theft is responsible for 75 percent of inventory shortages and about 4 percent of restaurant sales. Three-quarters of employees steal from the workplace at least once, while half steal repeatedly.

Another company specializing in detecting and preventing employee theft is EZConnect, which is used in Subway and Dunkin Donuts units. The platform features the ability to integrate digital video with the POS system as well.

“Suspicious cash transactions can be pinpointed and reviewed quickly, avoiding hours of research on standard digital camera systems,” Michael Starer, CEO of Profit Enhancement Technologies Inc., the company behind EZConnect.

Hospitality Industry Cybercrime Risks: Criminal Hackers Target Hotels Lacking “Advanced Data Security Safeguards” On Local Credit Card Transactions; “Chip-And-Pin Cards” Coming Soon

“…criminal hackers gravitate to some hotels because, like retail stores and restaurants, hotels do many credit card transactions at a local level, where centralized and highly sophisticated data security safeguards may be lacking…Most hotels are locally owned, though managed by big Cyber Risk Insurance Graphichotel chain companies. For hotel owners, it is expensive to come into full compliance with the tough global data security criteria set by the credit card companies…That includes using complex passwords, being wary of public Wi-Fi, updating antivirus software — and checking credit card statements carefully…”

“…In the United States, credit cards use magnetic strips that are more vulnerable to hacking than the electronic chips embedded in credit cards in Europe and elsewhere. Such cards also require entry of a PIN…these so-called chip-and-PIN cards are headed our way, said Kathy Orner, vice president for information security at Carlson Rezidor, a worldwide hotel company that is among the industry leaders in data security…all of the major credit card issuers plan to start introducing these cards in the United States within two or three years…”

In its 2013 Global Security Report, Trustwave, a data security management firm, says that the top three industries targeted for data breach attacks in 2012, measured by the number of its investigations, were retailing (45 percent), food and beverage (24 percent) and hotels (9 percent). Three years ago, the hotel industry was at the top, but hotels have since made “significant strides” in improving credit card security measures, the report says.

Last year, for example, the Federal Trade Commission sued Wyndham Worldwide, the hotel chain, for what it said was inadequate safeguarding of credit card information that led to three data breaches at hotels in under two years, with “millions of dollars in fraud loss, and the export of hundreds of thousands of consumers’ payment card account information to an Internet domain address registered in Russia.”

The threat is constant, Mr. Roman said. “The best protection is vigilance, and that takes work,” he said.

Hospitality Industry Technology Solutions: New Study Shows That Restaurant Employee Theft Can Be “Significantly Reduced” By Surveillance And Sales Transaction Monitoring

“…Knowing they were being monitored, the servers not only pulled back on any unethical practices, but also channeled their efforts into, say, prompting customers to have that dessert or a second beer, raising revenue for the restaurant and tips for themselves… in the restaurant Restaurant Employee Theftindustry, analysts estimate the losses from employee theft at 1 percent of revenue. That does not seem like a lot, but restaurant profit margins are slender, typically 2 to 5 percent. So cutting down on theft can be an important contributor to a restaurant’s financial health…”

And a new research paper, published on Saturday, shows in detail how significant the surveillance effect can be. The paper, “Cleaning House: The Impact of Information Technology Monitoring on Employee Theft and Productivity,” is the work of three academics: Lamar Pierce, an associate professor at the Olin Business School at Washington University in St. Louis; Daniel Snow, an associate professor at the Marriott School at Brigham Young University; and Andrew McAfee, a research scientist at the Sloan School of Management at the Massachusetts Institute of Technology.

The researchers measured the impact of software that monitors employee-level theft and sales transactions, before and after the technology was installed, at 392 restaurants in 39 states. The restaurants were in five “casual dining” chains. The paper does not name the five,  but it cites examples of the casual dining category including Applebee’s, Chili’s and Olive Garden.

Employee theft and fraud is a big problem, estimated at up to $200 billion a year across the economy.

Hospitality Industry Information Risks: “Cyber-Risk Insurance” Protects Businesses Against “Data Breaches”

…CFOs are looking for insurance against cyber threats. In the past few years,  cyber-risk coverage has become one of the fastest- Cyber Risk Insurance Graphicgrowing businesses for insurers…Businesses, government agencies, hospitals and schools in  the U.S. reported 343 data breaches this year through July, reports CFOJ’s  Maxwell Murphy. That exceeds the number reported in all of 2006 and puts 2013 on  pace for 588 breaches, the most since 2010…”

Data breaches have been on the rise after a dip in the past two years, and experts say the publicly disclosed breaches of computer networks may be only a  fraction of the total.

Cybersecurity used to be something that Ciena CFO James Moylan Jr. delegated. But now he spends as much as 10% of his time making sure  Ciena and its technologies are protected from hackers, cutthroat competitors and other potential cybercriminals. “With all the things that have been in the  news—hackers and, frankly, the Chinese—it’s all caused us to think about” how to cut the potential cost of a data breach, he says. The average cost of a breach  is about $188 per stolen record, and the average loss per incident is $9.4 million, according to a study last week from the Ponemon Institute.

Hospitality Industry Crime Risks: New York Restaurant Employees Arrested For Identity Theft; Skimming Device Used To Steal 30 Customer Credit Cards

“…four (employees) were arrested…(and) found to have outstanding federal warrants for deportation and turned over to the Department of Hospitality Industry Identity TheftHomeland Security…Heng Li, 27 of Brooklyn had a credit card skimming device and a counterfeit Michigan ID card.  He was charged with possession of a forged instrument, scheme to defraud, unlawful possession of a skimmer device and unlawful possession of personal identification information, it is also believed he is in this country illegally…”

The Bethlehem Police Department raided the Golden Town Buffet Monday morning in connection with an identity theft investigation.  The restaurant is located at 385 Route 9W in Glenmont.

According to the department, customers credit card and debit card information was compromised after they ate at the restaurant sometime between June 14th and August 5th.  Bethlehem Police are asking anyone who used their card at the restaurant during that time frame to check their bank statements and immediately report any fraudulent transactions to their respective bank and local law enforcement agency as soon as possible.

The Bethlehem Police are being assisted in this investigation by the Albany Police, Colonie Police, New York State Police New Scotland, New York State Police Clifton Park, East Greenbush Police, US Secret Service and Department of Homeland Security.

Li was arraigned in the Town of Bethlehem Justice Court on Monday evening and remanded to the Albany County Jail without bail.  He is due back in court on Thursday.

Hospitality Industry Crime Risks: Florida Hotel Manager Charged With Stealing Over $42,000; Diverted Company Charges To Personal Account

“…According to court documents, (the defendant) ran a scheme in which she made various charges from the company account into six of her Hotel Employee Theftpersonal accounts…part of her duties included checking guests into the hotel and processing cash and credit card payments…from early 2009 to late 2010, authorities say she diverted $42,954.32 from the company account…”

A former employee of a Tallahassee hotel is facing charges she stole more than $42,000 from the business by diverting money onto personal credit cards. Chyrell Martin, 33, a former front desk clerk and manager at the Collegiate Village Inn was booked into Leon County jail on Monday. Martin, of Georgia, is facing charges of grand theft and fraud to obtain property.

Martin, who worked as a manager at the hotel from 2005 to 2010, resigned suddenly in Oct. 2010 after the investigation into the irregularities on the company account began, according to court documents.

She is currently in Leon County jail.
